Data Deletion

You can delete your Graftloop account and the personal data it holds at any time. This page explains how to do that, what gets removed, and how long it takes.
1. Deleting from your account settings
The fastest way to delete your account:
- Sign in to your Graftloop account at graftloop.com.
- Go to Settings → Account.
- Scroll to Delete account and confirm.
Deletion is initiated immediately. You will be signed out and your account marked for permanent removal.
2. Requesting deletion by email
If you can't access your account, email us from the address on file:
privacy@graftloop.com
Include the subject line “Data deletion request” and the email address or WhatsApp Business phone number associated with your account. We may ask for additional verification before we delete data on your behalf, to make sure the request is genuinely yours.
3. What gets deleted
When you delete your Graftloop account we remove:
- Your profile information (name, email, mobile, password hash, photo).
- Your business profile and configuration.
- Customer records, quotes, invoices, jobs, and receipts you created in Graftloop.
- WhatsApp messages exchanged via your connected WhatsApp Business Account, including media files.
- AI conversation history under your account.
- Connected WhatsApp Business Account credentials (we revoke our access token).
4. What we may retain
We retain a minimal set of records where required by law:
- Financial records (invoices issued to you for our service, payment records, tax filings) for the period required by tax law in the jurisdictions where Graftloop operates. For UK records, the statutory minimum is six years.
- Aggregate, anonymised usage statistics that cannot be linked back to you.
- Records needed to defend a legal claim, prevent fraud, or comply with a regulator's request in any jurisdiction where Graftloop operates.
5. Backups
Active production systems are purged at deletion. Encrypted backups expire on a rolling schedule, after which no copy remains.
6. WhatsApp message data specifically
We delete the message records we hold. However, copies of WhatsApp messages may also exist within Meta's infrastructure, on your phone's WhatsApp client, and on your customers' phones. Those copies are outside Graftloop's control. To delete WhatsApp messages from Meta's side, follow Meta's instructions in the WhatsApp Help Center.
7. Deleting a single customer's data
If you want to delete one of your customers' data without closing your whole Graftloop account, open the customer record in Graftloop and choose Delete customer. Their messages, quotes, invoices, and related records will be removed from your account.
8. Timeline
We complete account deletion in production systems within 30 days of receiving a valid request, and in backups within the rolling retention window noted above. We'll send a confirmation email when production deletion is complete.
